Reading the Bubble Tracker for Program Managers

How to interpret the dashboard that shows client progress during a program

When you have a lot of clients, it is important to be able to quickly see how each client is progressing through the program! Optify offers an easy way to see the progress of multiple clients at the same time. This article reviews how to read a client’s Bubble Tracker. An example of the Bubble Tracker can be seen below and will be used throughout.

How to Read the Bubble Tracker

Quickly Viewing Event Information

At any time, you can quickly see the information from an event by hovering over the bubble. You will be able to see the type of event, if it is scheduled, and whether or not it was completed.

Closed Vs. Open Bubbles

If a circle is closed, that means the event was completed (the survey was taken or the meeting was marked as complete/no-show/cancellation). If the bubble is not filled in, the event is still pending.

Dark vs. Light Bubbles

For Open Bubbles:

Dark open bubbles mean that the meeting has been scheduled. Light open bubbles are events that still need to be scheduled.

For Closed Bubbles:

Closed light bubbles that indicate a cancellation or no show. Closed dark bubbles are events that were completed as scheduled.

The Different Colored Bubbles

Each event type will be a different color.

Note: Colors will vary based on the branding of your specific account. You can always hover over the bubble if you need a reminder of which color represents which event.

In this example:

  • Gray = survey or survey debrief

  • Pink = group meeting

  • Blue = One-on-one meeting

Where to View the Bubble Tracker

There are multiple views that will group bubble trackers in different ways depending on what you are trying to see. You can view the clients’ bubble trackers:

  • By a program (View 1)

  • By all clients (View 2)

  • By a sponsor (View 2)

  • By a coach (View 2)

View 1: Specific Program

To view client progress in a specific program, click on Programs (1) and select the program you want to see. Make sure Clients (2) is selected to view the bubble trackers for all clients in the program.

View 2: All Clients, By Sponsor Company or By Coach

Start by selecting Dashboard (1). You will automatically see the bubble tracker for all clients. You also have the option to sort by sponsor (2) or coach (3).
