Dashboards & Reporting Overview

Optify’s dashboards give you real-time visibility into your coaching programs, helping you track engagement health, monitor scheduling, and analyze progress across participants, coaches, and cohorts.

Together, these tools allow you to move from high-level insights to detailed reporting, so you can quickly identify trends and take action where needed.


Available Dashboards

Optify provides three core dashboards, each designed to give you a different perspective on your programs.

Program Center - Engagement Summary

This dashboard provides a high-level view of all engagements across your organization.

Use this dashboard to:

  • Understand overall program health

  • Track where participants are in their journey

  • Identify bottlenecks or drop-off points

  • Monitor trends over time

Engagement Reports

A detailed, report-style view of engagement activity.

Use this dashboard to:

  • Analyze session usage and progress

  • Track completed, scheduled, and unscheduled sessions

  • Review coach and participant activity

  • Support reporting and business reviews

Engagement Scheduling

A focused view on session timing and pacing.

Use this dashboard to:

  • Monitor how sessions are being scheduled

  • Identify gaps or delays in scheduling

  • Track whether participants are staying on cadence

  • Flag participants who may need follow-up


Bringing It All Together

Each dashboard serves a different purpose:

  • Engagement Summary → High-level health and trends

  • Engagement Reports → Detailed session and utilization data

  • Engagement Scheduling → Timing, pacing, and scheduling behavior

Used together, they give you a complete view of your programs, from overall performance to individual participant activity.


Using Filters Across Dashboards

All dashboards include filters at the top of the page, allowing you to customize your view and focus on the data that matters most.

Available Filters

  • Sponsor
    View data for a specific organization or client account.

  • Program
    Focus on a particular program or cohort.

  • Coach (where available)
    Filter by coach to understand workload and engagement distribution.

  • Client
    Drill down to an individual participant.

  • Custom Field Title & Value
    Segment data using custom fields such as department, region, or cohort type.

  • Date Filters
    Depending on the dashboard, you may filter by:

    • Engagement Created

    • Engagement Began

    • Engagement Completed

  • Active / Ended Toggle (Scheduling dashboard)
    Switch between active and completed engagements.

Best Practice

Start broad, then narrow down. Review all data first to understand overall trends, then apply filters to drill into specific programs or cohorts.


Engagement Summary Dashboard

The Engagement Summary dashboard provides a high-level view of all engagements across your organization.

Key Metrics

  • Active
    Engagements currently in progress

  • Total
    All engagements within your selected filters

Engagement Status Breakdown

This chart shows where participants are in their coaching journey:

  • Not Registered

  • In Coach Pairing

  • Coach Selection

  • Awaiting First Meeting

  • In Progress

  • Completed

  • Canceled

Each stage includes both count and percentage, helping you quickly understand distribution.

Additional Insights

  • Active Engagements by Date
    Tracks how active participation changes over time

  • Completed Engagements Over Time
    Shows cumulative completions for reporting and trend analysis


Engagement Reports

The Engagement Reports dashboard provides a more detailed, report-style view of engagement activity.

View Options

  • Hours (default)
    Tracks session allocation and progress

  • Meetings
    Focuses on meeting-level data

  • Matrix View
    Displays data in a pivot-style format for deeper analysis

Key Data Points

  • Total 1:1 sessions

  • Completed sessions

  • Scheduled sessions

  • Unscheduled sessions

  • No-show counts


Engagement Scheduling Dashboard

The Engagement Scheduling dashboard focuses on session timing and pacing.

Events by Client

Displays a session timeline for each participant:

  • Columns represent session numbers

  • Dates show when sessions occurred or are scheduled

Color indicators:

  • Green: completed or scheduled sessions

  • Red: no-show or cancelled sessions

  • Blank: not yet scheduled

Expected Cadence

Defines how often sessions should occur (for example, every 2 weeks), helping measure whether participants are on track.

Pacing Table

Provides a detailed view of participant progress:

  • No Coach – coach not yet assigned

  • No Meetings – no sessions scheduled

  • Behind – not following expected cadence


Exporting Data

You can export data from any dashboard or report.

To export:

  1. Click the three dots in the top right corner of a visual

  2. Select Export data

Export Options

  • Summarized data
    Exports the aggregated data shown in the visual

  • Data with current layout
    Exports data in the same format as displayed (tables only)

  • Underlying data
    Exports raw data (may be disabled depending on settings)

You can choose your file format (such as Excel). Row limits may apply.


Survey Dashboards

Please note: Midpoint Survey Results dashboards are only available for organizations using Optify’s built in survey workflows and are not supported for externally managed or third party survey tools.

Optify’s Survey Dashboard is launching soon, giving you a centralized, visual way to understand how your programs are performing based on participant feedback.

This dashboard will be available for customers using Optify’s standard surveys only, including:

  • Pulse Surveys

  • Midpoint Surveys

  • End of Engagement Surveys

Surveys created or distributed outside of Optify will not be reflected in this dashboard, and their results will not be displayed here.


Why this matters

Survey data is one of the most powerful indicators of program success, but it’s often underutilized.

The Survey Dashboard transforms your feedback into clear, actionable insight so you can:

  • Understand how participants are truly experiencing coaching

  • Identify trends across programs, coaches, and time periods

  • Surface risks early and take action before engagement drops

  • Provide sponsors with direct visibility into program performance and impact


What You’ll See

At-a-glance insights

Quickly assess overall sentiment across key areas:

  • Coach Satisfaction

  • Experience Satisfaction

  • Process Understanding

Each metric is displayed in a visual breakdown, making it easy to spot trends, strengths, and areas for improvement at a glance.


Survey Count

A running total of completed surveys gives you immediate visibility into participation levels and the strength of your dataset.


Filters for deeper analysis

Refine your view using:

  • Program – View across all programs or focus on a specific one

  • Start Date – Analyze by program start timeframe

  • Survey Date – Focus on when responses were submitted

This allows you to evaluate performance across cohorts, time periods, and initiatives.


Drill down with All Results

The All Results table provides a detailed, row-level view of responses, including:

  • Date

  • Client

  • Coach

  • Coach Satisfaction

  • Experience Satisfaction

  • Process Understanding

This enables you to:

  • Investigate individual responses

  • Identify patterns at the coach or client level

  • Take informed, targeted follow-up actions


Midpoint Survey Results Dashboard

Please note: Midpoint Survey Results dashboards are only available for organizations using Optify’s built in survey workflows and are not supported for externally managed or third party survey tools.

The Midpoint Survey Results Dashboard provides visibility into participant feedback collected during the middle of a coaching program. These surveys help organizations understand how engagements are progressing while the program is still active, allowing Program Managers and Sponsors to identify strengths, trends, and opportunities for improvement in real time.

Midpoint surveys are completed by coaching participants and are designed to measure engagement, coaching effectiveness, program impact, and overall participant experience.

Accessing the Dashboard

Navigate to the Midpoint Survey Results Dashboard from your reporting section within the platform.

The dashboard data reflects all submitted midpoint surveys based on the filters selected.

Available Filters

Use the filters at the top of the dashboard to narrow results and focus on specific populations or timeframes.

Filter Options

  • Sponsor
    Filter results by sponsor or organization.

  • Program
    View results for a specific coaching program.

  • Client
    Narrow results to individual participants.

  • Coach
    Review feedback tied to a specific coach.

  • Start Date / End Date
    Filter engagements based on engagement dates.

  • Survey Date
    Filter by when the midpoint survey was submitted.

  • Flags
    Filter based on flagged responses or predefined categories.

Summary Metrics

The dashboard highlights key program metrics at the top for quick visibility into overall program health.

Total Surveys

Displays the total number of midpoint surveys submitted within the selected filters.

Average Engagement Rating

Represents the average participant engagement score across all survey responses.

Positive Program Impact

Shows the percentage of respondents who indicated the coaching program had a positive impact on their development.

Highly Effective Coach

Represents the percentage of participants who rated their coach as highly effective.

Coaching Effectiveness

Displays the overall average coaching effectiveness score across all survey questions.

Program Impact Chart

The Program Impact donut chart visualizes participant responses regarding the overall impact of the coaching program.

Responses are grouped into categories such as:

  • A Lot

  • Some

  • Minimal

  • Not at all

This helps identify how strongly participants feel the program is contributing to their growth and development.

Coaching Program Effectiveness

This section breaks down participant feedback across different aspects of the coaching experience, including:

  • Coach Scheduling

  • Learning Assignments

  • My Coach

  • Technology Platform

Each category displays the distribution of responses across satisfaction levels:

  • Extremely

  • Very

  • Average

  • Somewhat

  • Not

This allows admins to quickly identify areas performing well and areas that may need additional support or attention.

Average Scores

The Average column displays the overall average rating for each coaching category.

These scores provide a quick snapshot of participant sentiment across the program experience.

Best Practices for Reviewing Results

  • Review results regularly throughout the program lifecycle to identify trends early.

  • Use filters to compare feedback across coaches, programs, or sponsors.

  • Look for categories with lower average scores to uncover opportunities for improvement.

  • Combine midpoint survey insights with engagement and scheduling dashboards for a more complete view of participant experience.


Sponsor Visibility

Sponsors in Optify can be granted view-only access to specific program dashboards. This allows stakeholders to monitor program activity and engagement data without being able to make changes within the program.

What Sponsors Can Access

Sponsors can be assigned access to selected dashboards within a coaching program, including areas such as:

  • Engagements

  • Events

  • Goals

  • Coaching Topics

  • Program Center

  • Pulse Surveys

  • Midpoint Surveys

  • Sponsor-specific dashboards

Sponsors have view-only permissions and cannot edit program settings, participants, or engagement data.


Assigning Dashboard Access to Sponsors

Once a sponsor has been added, you can choose which dashboards they can view.

Each dashboard includes a checkbox under the sponsor’s name.

To grant access:

  1. Within a Program, click the Sponsors Tab.

2. If you have not added a sponsor yet, follow the steps to do so.

3. Check the box for the sponsor who should have access.

Example dashboard permissions include:

  • Engagements

  • Events

  • Goals

  • Coaching Topics

  • Program Center

  • Pulse Surveys

  • Midpoint Surveys

  • Sponsor-specific dashboards

Only checked dashboards will be visible to the sponsor.

Important Notes

  • Sponsor access is view-only.

  • Sponsors cannot modify program settings or participant information.

  • Dashboard visibility can be updated at any time by program administrators.

  • Sponsors only see dashboards explicitly assigned to them.

Survey results are automatically captured when Optify’s standard surveys are completed, ensuring your dashboard stays up to date without any manual work.
