Coaching engagements are not automatically marked as completed once all events within the program have concluded. Program Managers must manually complete or end engagements to ensure accurate tracking.
Closing and ending engagements is an important step as it may affect billing. Optify bills based on the number of active clients and coaches. For more details on billing, refer to your contract.
Ending an Engagement Early:
Access Dashboard:
Navigate to the dashboard page of the platform.
Find Program:
Locate the program where the client is participating.
Select Client:
Identify the client's name within the program.
End the Engagement
Click on the three dots next to the client's name.
Provide Reason:
Select the appropriate reason for ending the program early.
Click on 'End Early' to confirm the termination.

Access Dashboard:
Navigate to the dashboard page of the platform.
Find Program:
Locate the program where the client is participating.
Select Client:
Identify the client's name within the program.
End the Engagement
Click on the three dots next to the client's name.

They can navigate through the client's information, including events, notes, messages, and goals, by selecting 'include completed engagements' within the coach dashboard.
3. When should I mark a program engagement as completed versus ending it early?
Use the 'mark completed' option if all meetings were attended but not marked complete by the coach, or if the engagement was successfully completed but the client and coach didn't fill out a survey.
In these cases, mark the engagement as complete instead of ending it early.
