Using Guest Scheduling Links - For Coaches

How coaches can create and share guest scheduling links in Optify.

Guest Scheduling Links allow someone else—such as an Executive Assistant or team coordinator—to schedule coaching sessions on your behalf, without needing an Optify login. This guide explains how coaches can create, share, and manage these links.

  • The Program Manager must enable this feature in order for you to use it.

  • You must have your calendar integrated to use Guest Scheduling Links.

  • If you do not see the Guest Scheduling Link option, contact your Program Manager.


How to Create or Access a Guest Scheduling Link

  1. From your Coach Dashboard, click on your client’s name to open their engagement.

  2. Go to the Events tab (1)

  3. On the right side of the page, click the Guest Scheduling link (2)

    • If a Guest Scheduling Link has not yet been created, you’ll see the option to create one and (optionally) set a password.

    • If the Program Manager has already created the link, you’ll see the option to copy the existing link instead.

  4. Click the clipboard icon to copy the link and share it with someone who needs to schedule on your behalf.

  5. You can create a password for an extra layer of security (optional)


Managing Your Link

  • To revoke access, click on "Delete Schedule Link"

  • You can create a new link at any time if the existing one has been deleted.

  • If you forgot your link's password, delete it and create a new one.


Additional Notes

  • You must have your calendar integrated in order to use this feature.

  • Anyone with the link can book a meeting on your behalf as long as it is active.

  • Passwords cannot be reset. If forgotten, the link must be deleted and recreated.

  • Meetings scheduled through the link will appear on your calendar just like any other session.

  • The guest does not need an Optify login.


FAQ

Q: I don’t see the option to create a Guest Scheduling Link. What should I do?
A: This feature must be enabled by your Program Manager. Also, make sure your calendar is integrated. If you still don’t see the option, contact your Program Manager for support.

Q: Who can delete or revoke a Guest Scheduling Link?
A: Only Program Managers can delete or revoke links.

Q: What if I forget the password I set for a link?
A: Simply ask your Program Manager to delete the existing link so you can create a new one. Passwords cannot be recovered or reset.
