Understanding Reports in Optify - for Admins

Visualize coaching success with Optify's dashboards—track engagement, measure impact, and analyze program effectiveness in one place.

Optify’s dashboards provide key insights into your coaching programs—from engagement tracking to effectiveness, outcomes, and coach performance. They’re designed to help you make data-driven decisions and communicate program value clearly and efficiently.

Access the reports by visiting your Dashboard (1) and clicking on the Reports (2) tab.

The Program Effectiveness, Impact, Growth, and Coach Feedback dashboards rely on data collected through Optify’s integrated Reflecting on Your Coaching Experience survey. If this survey is not in use, these dashboards may display limited or no data.


1. Engagement Overview

This dashboard is available to all partners and offers a real-time view of all coaching engagement activity across your organization.

What You’ll See:

  • ✅ Completed and 🔄 In Progress engagements

  • 📅 Sessions Remaining, Unscheduled, and Completed

  • 🟠 Status breakdown (e.g., Completed, In Progress, Matching, Not Started)

  • 📊 Completion percentage bars

  • 📈 Historical data for Active and Completed Engagements over time

How to Use It:

  • Track engagement volume across time

  • Spot scheduling delays or trends

  • Understand where clients are in the engagement journey

Filtering & Organization:

  • Filter by: Sponsor Organization, Program Name, Coach Name, Client Name, Custom Field, and Custom Field Value

  • Use filters to narrow in on specific teams, cohorts, or custom groups


2. Program Effectiveness

  • Requires the Reflecting on Your Coaching Experience survey

This dashboard helps you assess how participants experienced key aspects of the program.

What You’ll See:

  • Effectiveness scores across:

    • Communication about the program

    • Coach selection

    • Scheduling

    • Goal setting

    • Learning assignments

    • Technology platform

  • ✅ % of participants who said the program was “Worth My Time”

  • ⭐ Program Net Promoter Score (NPS)

  • 🟨🟩 Bar breakdown of how effective each area was rated

How to Use It:

  • Identify strong and weak points in your program design

  • Guide improvements for future cohorts

  • Communicate participant satisfaction with leadership

Filtering & Organization:

  • Filter by: Sponsor Organization, Program Name, Coach Name, Client Name, Custom Field, and Custom Field Value

  • Helpful for analyzing survey results by program type or sponsor group


3. Impact

  • Requires the Reflecting on Your Coaching Experience survey

This dashboard focuses on the positive outcomes participants associate with their development experience.

What You’ll See:

  • % of participants reporting positive impact in:

    • Personal productivity

    • Team productivity

    • Retention

    • Internal and external relationships

    • Engagement

    • Increase in positive outcomes

  • Impact breakdown from “Not Impactful” to “Extremely Impactful”

How to Use It:

  • Demonstrate ROI of coaching efforts

  • Show how coaching supports organizational priorities

  • Use data to support ongoing investment in leadership development

Filtering & Organization:

  • Filter by: Sponsor Organization, Program Name, Coach Name, Client Name, Custom Field, and Custom Field Value

  • Drill down by specific teams or role types to view different outcome trends


4. Growth

  • Requires the Reflecting on Your Coaching Experience survey

This dashboard illustrates how participants feel they’ve grown in their roles as a result of the program.

What You’ll See:

  • % of participants who increased their value as:

    • Leaders/Managers

    • Contributors

    • Teammates

  • Common coaching goal categories (e.g., Self-Management, People Leadership)

  • Goal completion progress (e.g., “Almost there” or “Completely” met)

How to Use It:

  • Showcase how your program supports role development

  • Understand the types of goals participants are working toward

  • Track completion progress across leadership competencies

Filtering & Organization:

  • Filter by: Sponsor Organization, Program Name, Coach Name, Client Name, Custom Field, and Custom Field Value

  • Use filters to analyze goal achievement trends across different segments


5. Coach Feedback

  • Requires the Reflecting on Your Coaching Experience survey

This dashboard gives you access to participant feedback about individual coaches and coaching overall.

What You’ll See:

  • 📊 Coach Net Promoter Score (NPS)

  • Feedback by question (e.g., “Held me accountable,” “Understood what it takes to be a good leader”)

  • Coach-by-coach summary views and comparisons

How to Use It:

  • Identify which coaches are having the most impact

  • Pinpoint strengths and areas for development across your coaching team

  • Inform future coaching assignments or recognition programs

Filtering & Organization:

  • Filter by: Sponsor Organization, Program Name, Coach Name, Client Name, Custom Field, and Custom Field Value

  • Filtered views can help compare feedback across programs or cohorts

All dashboards support filtering by:

  • Sponsor Organization

  • Program Name

  • Coach Name

  • Client Name

  • Custom Field & Value

This allows you to tailor your view to the audiences or data points you care most about.


Frequently Asked Questions (FAQ)

Q: Who can see these reports?

Only Program Managers and Coaching Provider Admins can see these. Coaches and Sponsors do not have access.


Q: I don’t see any data in some dashboards. What’s going on?

Some dashboards—Program Effectiveness, Impact, Growth, and Coach Feedback—rely on data collected through Optify’s integrated Reflecting on Your Coaching Experience survey. The dashboards will not display results if this survey hasn’t been sent or completed.


Q: How can I start using Optify’s surveys?

Optify provides three types of surveys at no additional cost:

  • Pulse (early impressions)

  • Midpoint (progress check-in)

  • Reflecting on Your Coaching Experience (post-program reflection)

The Reflecting on Your Coaching Experience survey is designed to align with the dashboards and give you meaningful data.


To activate surveys for your programs, reach out to us via chat—we’ll get you set up quickly, at no additional cost.


Q: Can I use my own surveys and still view the results in the dashboards?

Optify’s dashboards are powered by data from our built-in surveys. While you're welcome to use your own custom surveys, the dashboard results will only populate when using Optify’s standard surveys.

Q: Can I export the dashboard data?

Yes! You can download most dashboard views directly. Just click the menu icon (typically in the top-right corner of the dashboard) and choose to export a table, chart, or full page.


Q: How often is the dashboard data updated?

Dashboard data refreshes automatically, usually within 24 hours of new survey responses or coaching activity being logged in the system.


Q: Can I share a dashboard with someone who doesn’t use Optify?

At this time, dashboards are only viewable by users with access to the Optify platform. However, you can export data to PDF or Excel and share it externally as needed.
